Practical trade guide

Import Document Readiness Checklist

A pre-shipment checklist for commercial, origin, product and transport documents.

Executive guidance

Document review should begin before cargo is dispatched. Late corrections can create storage, demurrage, inspection or release delays.

Check consistency across invoice, packing list and transport data: legal names, addresses, product description, quantities, weights, values, currency and Incoterm.

Map origin, product and destination requirements. Certificates, permits, labels or importer records may depend on commodity and jurisdiction.

Maintain version control and approval records so the final shipping set is identifiable.

Minimum checklist

  • Clear specification and acceptable alternatives
  • Quantity, market, target date and commercial scope
  • Supplier and product evidence required for approval
  • Documents, logistics and acceptance responsibilities
